Property Manager Maintenance Response Plan: Urgent vs Routine

Not every complaint is an emergency. A triage and update procedure helps administrators protect occupants, agree spending and keep contractors accountable.

Property information can change by product, building and scheme. For grants, finance and regulated work, verify current official terms before making a decision.

Set simple priority definitions

Treat water near electrics, exposed electrical hazards, significant active flooding and unstable components as urgent safety concerns requiring immediate qualified attention. Routine defects such as a dripping tap or worn seal may still deserve timely scheduling but should not displace true hazards. Priorities should be written in the management agreement.

Collect minimum intake details

Ask for property and room, description, when the issue began, photographs, access restrictions, occupant contact and whether an immediate safe action is needed. Avoid requesting unrelated personal information. Record the original report date even if the request arrives via WhatsApp or phone.

Give updates at every stage

Use status changes that mean something: reported, under review, site visit arranged, quote pending, approved, scheduled, work in progress and completed. Identify who must approve costs before a contractor begins. Inform the occupant if timing changes rather than leaving them waiting for a reply.

Close the loop

Check that the requested repair was completed, file photos and invoices, document remaining defects and keep warranties accessible. Where an issue recurs, connect it to the previous record. This makes future prevention and supplier evaluation easier.

When to call Finishline
